“Do more with less”: — Cobrief helps us succeed

Norwegians meet Onitio Solutions' solutions every day — in the grocery store, at the airport or when they pick up a package. With only half a resource to handle public tenders, the company had to find smarter ways of working. The solution was Cobrief.

For Dennis Hedö, Managing Director of Onitio Solutions, there is no doubt: Cobrief is the tool that makes the company's philosophy — “Do more with less” — a reality.

“We have no plans to have a large team dedicated to tenders. That's not our model. But with Cobrief we can be as competitive as someone with entire departments dedicated to this field. Technology allows us to play on the same field without increasing staffing. For us, it's the ideal solution,” he says.

Onitio Solutions sees great opportunities ahead. The company recently acquired a business in Sweden and is now focusing on building a stronger Nordic presence.

“We already have a solid customer base and good references here at home. Now it's about showing that we can deliver the same value also in Sweden and the rest of the Nordic countries. Public tenders will be an important part of this journey, and Cobrief will be a tool that helps us succeed,” says Hedö.

Solutions you encounter every day

Onitio Solutions' technology is part of the everyday life of most Norwegians. The company supplies everything from self-scanning and self-service cash registers in grocery stores to digital price tags, displays and queuing systems.

They are also behind the click-and-collect solution in the duty-free shop at Oslo Airport. At several large logistics companies, Onitio's systems allow millions of parcels to be tracked and scanned.

“When two million Norwegians every week shop for food, pick up packages or move through shops, chances are they will encounter one of our solutions. It's a bit of invisible work, but that's precisely the point: Everything should work seamlessly, without the customer having to think about it,” says Hedö.

— Qualified decision in minutes

Private business is the main market, but public tenders have become an increasingly attractive area of investment. The challenge has been capacity.

Public procurement requires a high degree of structure and documentation, and Onitio only had half a resource to handle the entire process. The same person additionally had responsibility for the project department.

“She is very talented, but it goes without saying that there will be little time left for tenders when you cover so many roles. The result was that we often had to decide against participating in a tender, even when we had good chances of winning,” Hedö says.

When Onitio adopted Cobrief in the spring of 2025, the way they worked with tenders changed fundamentally.

Cobrief allows us to monitor the market continuously and catch up on relevant tenders without spending hours on manual exploration. We get ready-made summaries which shows what the tender is about, what the requirements are, and how well it suits us.

Thus, we can make a qualified decision in minutes instead of spending a whole day,” Hedö says.

Hedö stresses that the gain is as much about quality as time savings. “We don't have to waste time on irrelevant tenders. It frees up capacity to work more thoroughly with those tenders that really count. Photo: Onitio

Doing more with fewer people

Previously, it could take a full working day to assess a tender, gather documentation and structure an offer. With Cobrief, the process is reduced to a fraction of the time.

We free up more working days every month. For half a resource, it makes all the difference. Where we previously had time to participate in one tender, we can now participate in five. This allows us to deliver on several tenders with the same staffing,” says Hedö.

The gain is already apparent. Shortly after adopting Cobrief, Onitio won a tender for a digital queuing solution for healthcare companies.

“It's a project we would hardly have been able to deliver on without Cobrief. The tool helped us qualify quickly and structure the answer, so that we could deliver a competitive offer,” Hedö says.

Quality and efficiency

For Hedö, there are two things in particular that make Cobrief a hit for Onitio. One is the Knowledgebase function, which allows the company to structure and reuse previous responses and documentation.

“Before, we had to start almost from scratch every time. Now we are building on existing materials, and that provides both quality and efficiency,” he says.

The second factor is ease of use.

"Cobrief is designed to be simple. Anyone can use it from day one, without any heavy training. And if we wonder about something, support is always available. It provides us with a sense of security that is worth its weight in gold."

Commercial Manager

Commercial Manager at Cobrief, Tellef Tveit, is inspired by how Onitio Solutions streamlines and simplifies its business:

Onitio is the very definition of 'do more with less'. They prove that you don't need an entire tender department to compete against the biggest, and that one can win by simply working smarter.

Seeing customers streamline their everyday lives from the second they use Cobrief is very motivating for Tveit.

“That they can now go from spending days to minutes qualifying a tender, and win tenders they previously had to decide against participating in to win, is exactly the experience we are passionate about delivering to our customers,” says Tveit.
